Seeking Developer help – Combinding two datasets.

First off Apologies if this is not the place to ask this question but I am looking for help any will be appreciated. Second, it will become very obvious in a second that I am not a developer, I’m an ecologist… as stated above any help will be appreciated.

I need to collate two (soon to be more) databases together. One of them is in the form a spreadsheet with +/- 4000 entires the other is currently a web-based search bar style system of a specific data set. Current strategy is to copy the related search query out of the spreadsheet, paste it into the search bar, copy the required information back to the spreadsheet. There has to be a better way!! Please advise!
