Easy document filing system for auditors

I work in the Safety Industry and all of our forms are digital (equipment inspections, management reports, incident reports, timesheets, etc) are well filed but the volume of them is overwhelming. For context most of our forms need to be done every day across many crews. So when our yearly safety audit comes we have thousands of documents form a 6 month work period that need to be audited. Is there an easy way to catalogue everything and make it easy to see and search the PDFs for specific dates, document type, specific equipment unit numbers, etc.?
